1. Agreement
By booking or participating in a retreat organised by Adventure 365, operated by Andrew Pap Consulting Pty Ltd, you agree to these Terms & Conditions.
These Terms govern the relationship between Adventure 365 and retreat participants and outline the rights, responsibilities, and obligations of both parties.

2. Booking & Payment
All retreat bookings require a non refundable deposit, the amount of which varies depending on the retreat location.
The remaining balance must be paid 60 to 90 days before the retreat start date, depending on the retreat location.
Adventure 365 reserves the right to cancel a booking if the balance is not paid by the specified due date.
Payments are processed securely through Stripe. Credit card surcharges may apply.

3. Retreat Inclusions
Each retreat generally includes:
Accommodation for the retreat duration
All meals and snacks (dietary preferences accommodated where possible)
All scheduled activities, workshops, and experiences listed in the itinerary
Group transport during the retreat where specified
Professional media content of the retreat experience
Exact inclusions may vary depending on the retreat.

4. Retreat Exclusions
The following items are not included unless explicitly stated:
International or domestic flights
Travel insurance
Personal expenses
Optional activities not listed in the official itinerary
Visa requirements or travel documentation
Guests are responsible for ensuring they meet all travel requirements for the destination country.

5. Cancellations & Refunds
Deposits are non refundable.
If a guest chooses to cancel their participation:
More than 90 days before retreat start
Credits or partial refunds may be issued at the discretion of Adventure 365.
Within 90 days of retreat start
Payments are generally non refundable due to third party supplier commitments.
Adventure 365 recommends guests rely on their travel insurance to recover costs if they are unable to attend.

6. Guest Travel Responsibility
Guests are responsible for:
Booking their own flights
Arriving at the designated retreat start location on time
Ensuring travel documents and visas are valid
Adventure 365 is not responsible for flight delays, cancellations, or travel disruptions that prevent a guest from attending the retreat.

7. Mandatory Travel Insurance
All guests must obtain comprehensive travel insurance covering:
Trip cancellation
Medical emergencies
Adventure activities
Travel disruptions
Proof of insurance must be provided at least 14 days prior to the retreat start date.
Failure to obtain insurance may result in cancellation of participation without refund.

8. Transfers & Changes
Retreat bookings are generally non transferable unless approved in writing by Adventure 365.
Requests for booking changes must be made at least 60 days prior to the retreat start date.

9. Force Majeure
Adventure 365 shall not be liable for failure or delay in delivering a retreat where such failure is caused by events beyond our reasonable control.
These events may include but are not limited to:
War or armed conflict
Terrorism or civil unrest
Government travel restrictions or border closures
Natural disasters
Pandemics or public health emergencies
Airspace closures or major travel disruptions
Severe weather events
Acts of God or other unforeseeable global events
In such circumstances Adventure 365 reserves the right to:
Reschedule the retreat to a future date
Offer credit toward a future Adventure 365 retreat
Provide refunds minus unrecoverable third party costs already incurred
Adventure 365 will always aim to provide the most fair and reasonable outcome for all guests while ensuring the sustainability of the retreat experience.

10. Changes to Itinerary
Adventure 365 reserves the right to modify the retreat schedule due to:
Weather conditions
Safety considerations
Operational requirements
Supplier availability
Such changes do not constitute grounds for refund.

11. Health & Fitness
Guests are responsible for ensuring they are physically and mentally capable of participating in retreat activities.
Adventure activities may include hiking, climbing, water sports, endurance activities, and other physically demanding experiences.
Guests must disclose any medical conditions that may affect their participation.
Adventure 365 reserves the right to refuse participation in certain activities where safety may be compromised.

12. Liability
To the maximum extent permitted by law, Adventure 365 shall not be liable for any injury, illness, loss, damage, or expense incurred during or as a result of participation in the retreat.
Guests participate in activities at their own risk.
Guests must sign a full Risk Acknowledgement & Waiver prior to participation.

13. Media Consent
By participating in an Adventure 365 retreat, guests grant permission for photographs and videos taken during the retreat to be used for marketing and promotional purposes.
Guests may opt out by providing written notice before the retreat begins.

Adventure 365 collects and uses personal information in accordance with our Privacy Policy.
